Choose a website when understanding is the task
A business website explains services, builds confidence and helps someone contact you. Strong content, fast pages and a clear enquiry path often matter more than accounts or a database.
Choose an application when work must persist
An application is appropriate when people create records, update shared status, use permissions or connect operational systems. It brings decisions about data models, authentication, backups and support.
Use an existing tool when it fits
Before commissioning custom software, compare a configured commercial tool against the workflow. Consider integration limits, data export, recurring costs and the effort required to operate it.
A hybrid can be sensible
A public website may connect to a separate booking or internal system. Define the boundary and what happens when the connected service is unavailable. A marketing site should not silently become the source of truth for operations.
Decide with a small scope
Write down the users, the action they must complete and the information that must be retained. Use that to compare implementation and maintenance costs. Add AI only when there is a clear task and a way to evaluate it.
A planning guide for discussion. Project commitments, acceptance criteria and operating responsibilities belong in an agreed scope.
